Privacy statement for Customer Contact Persons

Cloud1 Oy is committed to protecting your personal information. This privacy statement describes how we keep the personal information of our customers' contacts secure. In addition, this describes how we process contact information in connection with business events. We are committed to always processing personal data only in accordance with applicable law.

Data controller

Cloud1 Oy acts as the data controller of our customers' contact information.

Legal basis for the processing of contact details

The processing of contact information is based on:

  • Cloud1 Oy's legitimate interests - the processing of your personal data is necessary for conducting our business (eg contact with the customer); or
  • Consent, eg in the form of a subscription to our newsletters or newsletters. You can revoke your consent if you wish by sending an e-mail to tietosuoja@cloud1.fi

Collection of contact information

We only collect and process the following customer contact information, which is necessary for the business:

  • Name of the company
  • Role in the company
  • The name of the person
  • Email address
  • Phone number
  • Use of our digital services

We collect contact information in the following ways:

  • The customer's contact person fills in the contact information digitally in our application
  • In a meeting, call or e-mail, contact information is received in connection with the customer relationship
  • The contact person's employer or an employee of Cloud1 Oy provides the contact person's information

The provision of personal information to Cloud1 Oy is not required by law, but Cloud1 Oy requires the collection and processing of certain personal information in order to be able to do business (for example, enter into a commercial agreement) with Cloud1 Oy. The absence of this personal information may limit or completely prevent the business between Cloud 1 Oy and the customer company.

Disclosure of contact information

As a general rule, contact details will not be disclosed to other data controllers. However, Cloud1 Oy may have to disclose personal data on the basis of mandatory legislation, eg to competent authorities.

Transfer of contact details, including transfers to third countries

Depending on the case, Cloud1 Oy can use reliable and reputable service providers (for example, IT services) to process contact information. In this case, the contact information is transferred to the service providers. These services may include, but are not limited to, the provision of data processing infrastructure, software and applications that are commonly used in the business of a cloud service provider of the type Cloud1 Oy to process personal data.

In accordance with mandatory data protection legislation (including the General Data Protection Regulation of the European Union, EU 2016/679), Cloud1 Oy requires that the service providers used by it enter into a binding agreement on the processing of contact personal data.

As part of its business, Cloud1 Oy may also transfer contact information to subcontractors operating outside the European Union and the European Economic Area. Such subcontractors include (8/2021): Subcontractors providing Microsoft Azure, Microsoft Dynamics, HubSpot services. In this case, Cloud1 Oy relies on either the European Commission's adequacy decisions or the European Commission's model contract clauses (as specified in the requirements of the so-called Schrems II judgment of the European Court of Justice (C-311/18)) as appropriate and suitable safeguards for such international transfers of personal data.

Profiling and automatic decision making

Cloud1 Oy does not do profiling based on customers' contact information. Cloud1 Oy does not make decisions with the information of customers' contact persons by means of automatic decision-making.

Processing of contact information

The purposes of the customer's contact information are:

  • Marketing transactions, sales process, invoicing process
  • Continuous service production issues
  • Collecting customer feedback

Retention of contact information

Contact information will be kept for 10 years from the last transaction between the customer company and Cloud1 Oy.

Rights of the data subject

The registered person has the right at any time to:

  • obtain a copy of contact information and data processing
  • check and confirm the accuracy of personal data and correct incomplete or outdated personal data
  • object to the processing of personal data when it is in the legitimate interest or for marketing purposes
  • have contact details deleted if the information is no longer necessary for the stated purposes of processing
  • request the suspension of the processing of personal data
  • restrict the processing of personal data
  • lodge a complaint with the competent supervisory authority, the Office of the Data Protection Commissioner in Finland

Security

We have taken appropriate organizational and technical measures to prevent unauthorized access to information, to protect personal information from accidental destruction and unauthorized disclosure.

These measures include e.g. anti-virus, proper message protection, firewall arrangements. Security requirements are properly monitored in the form of access control for IT systems.

Cloud1 Oy's employees who process personal data have also been properly instructed and trained in data protection and data security.
